Privacy Policy

The Kenes Employee App ("the app") is an internal application provided by Kenes Group ("we", "us") to its employees and contractors. This policy explains what the app collects, why, and who it is shared with. The app is not available to the general public and has no self-registration.

Information we collect

• Identity. Your name, work email address, Microsoft Entra ID user identifier, and profile photo — obtained from your Kenes Microsoft account when you sign in.
• Expense report content. Travel purpose, destination, dates, travel and vacation days, per-diem inputs, congress allocation, expense line items (category, amount, currency), and any comments you enter.
• Attachments. Receipt images or documents you attach, and the signature image you draw when submitting a report.
• Device push token. A notification identifier for your device, so we can alert you about approvals and decisions.

How we use it

• To create, route, review, and approve or decline expense reports.
• To identify your direct manager (read from your Microsoft Entra directory) so the report is sent to the right approver.
• To notify you and your manager by email and push notification.
• To display upcoming congresses and their assigned Kenes team.

Automated receipt reading

If you choose to scan a receipt, the receipt image is sent to Microsoft Azure Document Intelligence for optical character recognition, and the extracted text is sent to a Kenes-operated large-language-model gateway to identify fields such as date, amount, currency, vendor and category. This is used only to pre-fill the expense form; you can edit or ignore the result. Scanning is optional.

Where data is stored

Expense reports, attachments and signatures are stored on Kenes-controlled servers and databases. Access is limited to you, your approving manager, and authorised Kenes finance and administration staff.

Service providers

We do not sell your data or use it for advertising. We share it only with providers that process it on our behalf:

• Microsoft — authentication (Entra ID), directory lookup, and receipt OCR.
• Google Firebase — delivery of push notifications.
• SMTP2GO — delivery of notification emails.

Retention

Expense reports and their attachments are retained in line with Kenes Group's financial record-keeping obligations. Device push tokens are removed when you sign out or uninstall the app.
